In-person meetings always made it necessary for pen and paper. Notes have actually exploded for me as a necessity in the last two months with quarantine. But then again, I’m an English major, and yes, Uncle Tim, there are things I can do with it. Notes and writing are completely separate to me. This was an “inbox” feature in OmniFocus, TickTick, a couple of the others, but I’m all about Inbox Zero, so that never really appealed to me. I’ve also thought about groups for blog posts, where the idea is there, but you’ve got to sort out whether you want to pursue it. I added groups for unique on-going projects, like my portfolio or business ideas, you know, things that never really go anywhere. The To Do, Doing, Done fields are just an example. If you have a specific workflow you like, just edit the groups. Excel power users and web designers will absolutely love this. Need your task to reference other tasks or notes? Just add a relation. Your task doesn’t have a due date? Just delete it. Here’s the best example of this, and one of the major reasons I’m an advocate: you can customize each task’s property. The real beauty in Notion is how accessible it is, yet how unbelievably powerful and customizable it is. Notion lets you create a task without a due date and give it a special group for on-going, more nebulous projects. For example, updating your résumé or portfolio is probably always on the To Do list (in theory), but hardly ever can you set a deadline without either moving it or abandoning the task altogether. The first thing you’ll notice about To Do’s in Notion is that it’s more of a project management board which I LOVE! TickTick always wore on me because it mandated setting a due date, and the fact is things are often more fluid than that. This is especially useful because often times I need to put notes, a table, a file, and an algorithm all in a single page. Type ‘/’ and it brings up tons of options from inline blocks to media to algorithms. What’s most exciting about Notion is its command line ability. You can, of course, customize this to your hearts desire, but this is the default, and it works. Notion makes it simple - almost like tabs on a website: work, personal, tasks, journal, and reading list.

Worse than that, like a paper notebook, OneNote and Evernote always suffered from this paradox where you’re super organized by category, but there’s no shared To Do’s or Calendar between projects. The search was decent, but searching simply isn’t reliable or efficient. I’d have three different notebooks, 5–10 sections in each notebook, then tons of pages in each section. I’m obsessive when it comes to organization, but I’m also a power user so things can get scrambled fast. It’s generally been broken down into the mainstays (software I’m happy with but paradoxically usually don’t have a choice in) and the interchangeables (software I can never get to work but have a choice in). But the apps of my choosing never stay with me long. Some background: My workflow really hasn’t changed all that much going from working with vast amounts of data at a market research agency to working with vector graphics and animations at Josep in Color.
